Dipolio Education (“Dipolio”, “we”, “us”) provides academic mentorship to school-age students in British Columbia. We take privacy seriously, particularly because much of the information we handle concerns children. This policy explains what we collect, why, and how you can reach us about it. It is written to comply with the British Columbia Personal Information Protection Act (PIPA).

1. What we collect

Through our website and enquiry forms, we may collect:

–    Parent or guardian name, email address, and phone number.

–    Student first name, age or year level, and school.

–    Information you choose to share about your child’s academic situation, goals, or learning needs.

–    Technical information collected automatically, such as browser type and pages visited, through cookies and analytics tools.

Once a family enrols, we collect further information needed to deliver mentorship, including session records, student work, and progress reports. That collection is governed by the consent form families sign at enrolment.

2. Why we collect it

–    To respond to your enquiry and determine whether Dipolio is the right fit for your child.

–    To deliver and improve our mentorship services.

–    To communicate with you about scheduling, progress, and billing.

–    To understand how our website is used and to measure our advertising.

We do not sell personal information. We do not share it with third parties except service providers who help us operate (described below), or where the law requires.

3. Children’s information

Information about students is provided to us by parents or guardians. We collect only what we need to mentor the student well, we restrict access to those working directly with the family, and we do not use student information for marketing. A parent or guardian may review or request deletion of their child’s information at any time using the contact details below.

4. Where information is stored

Our website is hosted on Squarespace, and information submitted through website forms is stored on Squarespace servers, which may be located in the United States. By submitting a form, you consent to this transfer and storage. Enrolment and session records are stored in [describe: e.g. Google Workspace] with access limited to Dipolio personnel who need it.

5. Cookies and advertising

Our website uses cookies and similar technologies for basic functionality and analytics. We use Google Ads, which may place tracking technologies to measure whether our advertising led you to our site. You can limit cookies through your browser settings; the website will still function.

6. Retention

We keep enquiry information for up to 12 months if you do not enrol. For enrolled families, we keep records for the duration of the engagement and for 2 years afterwards, to maintain continuity if a student returns and to meet legal and accounting obligations. After that, records are securely deleted.

7. Your rights

Under PIPA you may ask us what personal information we hold about you or your child, request corrections, withdraw consent, or ask us to delete information, subject to legal retention requirements. Contact us and we will respond within 30 days.
